How Should Canadian Contractors Choose Materials Procurement Software?

Cover: illustrative collaboration at a construction receiving area.

Canadian contractors should choose materials procurement software by testing whether it connects site requests, approvals, purchase orders, receiving and invoice checks in a traceable workflow. Mobile access, language options and price matter, but a materials catalogue alone will not resolve project cost allocation, changing delivery dates or partial shipments.

This guide is for Chinese-owned construction businesses and purchasing teams in Canada. It covers internal procurement management. A marketplace where multiple merchants sell building materials to customers requires a separate assessment of seller management, transaction settlement and platform operations.

Start with the gap in your current workflow

Trace a recent purchase from the original site request to the accounting check. Identify repeated data entry, handoffs through messages or spreadsheets, and errors that are difficult to investigate. Use those gaps to define the first release rather than buying every project-management feature at once.

  • Accounting works, but purchasing is fragmented: assess a procurement module and define how orders, receipts and invoices reach your existing accounting system.

  • Several sites share stock: include allocations, transfers, reservations and returns. Warehouse stock is not necessarily available to every project.

  • Site updates arrive too late: demonstrate requesting materials, checking orders and recording deliveries on a phone. An independent mobile app is not automatically necessary.

  • Formal bidding is the main activity: document publication, bid access and evaluation need a distinct set of tendering capabilities.

Vendor descriptions help clarify product categories. For example, Pomevo’s product page describes requisitions, RFQs, orders, receiving and invoice matching. This illustrates the breadth of a procurement workflow; it does not establish that another candidate has those capabilities. Verify each shortlisted system through a demonstration.

Check the Canadian project details

Keep delivery and tax information explicit. The Canada Revenue Agency’s GST/HST guidance explains that treatment depends on the type and place of supply; where goods are delivered or shipped matters under the relevant rules. Record the supplier, billing address, actual delivery address and province, with tax breakdowns and their basis. Do not configure every order solely from your head-office address. Finance should confirm the applicable GST/HST, PST or QST treatment for the transaction.

A matching material name does not establish an equivalent specification. Keep internal and supplier item codes, dimensions, grade, pack size, purchase unit and pricing unit. Where conversion is necessary, record the relationship and who approved it. If your team uses both imperial and metric measurements, test conversions and rounding. A box, a sheet and a price per square foot are not directly comparable entries.

Connect project documents to the materials. The National Research Council explains that provinces and territories adopt or adapt national model construction codes in their jurisdictions. Look for a practical way to attach project specifications, product documents, approved substitutions and versions. A “Canadian compliant” checkbox cannot replace project-specific technical review.

Choose languages around the people using the system. Chinese may help internal purchasers, while supplier documents, site teams and accounting may require English; some projects also need French. Specify which interfaces and external documents require each language, then verify that item codes, quantities and statuses remain consistent.

Compare six capabilities

  • Requests and projects: connect each request to a project, cost code, required date and delivery point. Can a split order or revised date still be traced to the original request?

  • Quotes and orders: retain specifications, units, currency, freight and quote validity. Require an explicit approval path for substitutions or quantity changes.

  • Budgets and approvals: test roles, approval limits, over-budget handling and changes after approval. A requester should not bypass authority by editing a field.

  • Receiving and exceptions: distinguish ordered, delivered, accepted and outstanding quantities, supported by packing slips and discrepancy records. Delivery is not automatically quality acceptance.

  • Accounting handoffs: reconcile the order, receipt and supplier invoice, with a named owner for exceptions. Confirm integration fields, direction of sync and failure handling.

  • Data and support: demonstrate role handover, exports and attachment retrieval. Document backup and recovery arrangements, support hours, languages and upgrade scope.

Concept materials purchasing screen showing project DEMO-01, an order for 120 gypsum boards, delivery details and pending approval

The example places project, materials, delivery date and approval status together so the next responsibility is visible. All values are demonstration data.

PO-014 is pending approval, so it must not be treated as an order already placed. Continue the demonstration through approval and sending the order. Check who can edit, who can approve and which document version reaches the supplier. A well-designed status badge is not proof of a controlled workflow.

Mobile web, a standard module or a custom app?

If site staff mainly submit requests, upload delivery slips and view orders, first try a mobile-friendly website or an existing mobile client. Observe the actual steps. Offline work, scanning, linking photographs to orders and specialist devices each need separate verification. “Works on mobile” does not establish that offline changes will synchronize correctly.

Standard software suits teams whose critical processes can be configured and whose accounting handoff is clear. Custom development is more appropriate when defined business rules cannot be accommodated through configuration. Ask providers to classify every requirement as available, configurable, custom development or unsupported, with its cost and delivery owner. A broad promise that everything is possible is not a scope of work.

Use a sample order as an acceptance test

Prepare a sanitized project and three commonly purchased materials. The following quantities are illustrative, not a purchasing recommendation:

  1. Request 120 sheets of gypsum board for DEMO-01, delivered to Toronto ON by 2026-11-05. Check the specification, cost code and supplier pricing unit.

  2. Submit for approval, then change the quantity to 130 sheets. Check whether approval must be renewed and whether the change remains traceable.

  3. Restore and approve the 120-sheet order, then receive 80 sheets. The remaining 40 should stay outstanding rather than closing the whole order.

  4. Enter an invoice with a quantity that differs from the receipt. Confirm that the discrepancy is flagged for an authorized person instead of being released just because the order was approved.

  5. Export the order, request, approval history, receipts and attachments. Have purchasing, site staff and finance compare the information they receive.

Record each result as passed, configuration required, development required or failed, with evidence and an owner. A high overall score should not conceal failure on essential unit handling, permissions or reconciliation.

Agree on cost and pilot scope together

Compare account or project charges, deployment, data cleanup, integrations, mobile access, training, support and exit exports. Separate included items from changes billed later. Total prices based on different assumptions are not directly comparable.

Begin with one project, a small supplier group and common materials. Run the process from request to invoice checking before expanding inventory or commissioning a separate app. Assign ownership of item data and exceptions, and decide when the old process will stop.

When discussing procurement software requirements with HUACODE, bring a sanitized order, the name of your accounting software, project provinces, user numbers and three common exceptions. Ask candidate providers to demonstrate this workflow and distinguish existing capabilities from configuration and development.
